Privacy Policy
Optisite respects your privacy. This page explains how information is handled when you use this website, complete the 20/20 Website Check, submit an enquiry or communicate with Optisite.
In plain English
The short version
- You can browse the public website without directly submitting your identity.
- Enquiry details are used to respond and manage the conversation you start.
- The 20/20 Website Check uses your name, email and answers to administer the check and send the report you request.
- Completing the check does not subscribe you to a mailing list.
- Personal follow-up about a result happens only when you select the optional permission checkbox or separately request contact.
- We do not sell personal information or email addresses.
- Non-personal website analytics may be used to understand and improve the site.
1. Who we are
Optisite is a specialist website service for independent optometry practices. It is operated by Reach Digital in Melbourne, Australia. In this policy, “Optisite”, “we”, “us” and “our” refer to Reach Digital when it operates the Optisite website and services. Privacy enquiries can be sent to hello@optisite.com.au.
2. Information we collect
Depending on how you use the website, we may collect:
- your name, email address, phone number and practice or business name;
- your website address and the information you include in an enquiry;
- answers, progress, scores and focus areas from the 20/20 Website Check;
- your decision about optional follow-up contact, together with the date and copy version recorded for that decision; and
- the opening Practice clarity snapshot, completed score, focus-area results and source route; and
- non-personal journey and analytics data, such as page paths, device or browser information, referral information and interaction events.
Please do not submit patient health information or other sensitive personal information through this website or its forms.
3. The 20/20 Website Check
The 20/20 Website Check is a self-assessment, not a technical inspection of your website. Your answers are stored in your browser so that progress can be resumed. After the first four questions, we ask for your first name and email address to administer the check and save that checkpoint.
At that checkpoint, Optisite receives an internal notification containing your contact details, opening answers and consent decision. This lets Optisite know that the check was started even if it is not completed. We do not send an incomplete visitor report at that stage. Once all 20 questions are completed, we use the full answer set to prepare and email your result, including the score, answer totals, focus areas and recommended priorities.
The result is based on your own answers. It is not an automated technical scan or an inspection of the actual website. Completing the check does not request a call, audit, quote, proposal or website review; the later Website Clarity Call action is separate and optional.
Without a name and valid email address, you can complete the opening four-question snapshot but cannot unlock the remaining 16 questions or receive the emailed result.
4. Follow-up permission
The 20/20 Website Check includes an optional checkbox allowing Optisite to contact you about your result and possible next steps. It is unchecked by default and is not a newsletter subscription. Leaving it unchecked limits communication to administering the requested check, delivering the result and responding to messages you initiate. It does not affect your ability to complete the check or receive your result.
Your choice is recorded with a server-generated timestamp and the version of the consent wording shown. We use that record to respect the scope of your decision. You may withdraw follow-up permission at any time by replying to an Optisite email or contacting hello@optisite.com.au.
5. How we use information
We use personal information to:
- respond to enquiries and provide information you request;
- administer the 20/20 Website Check, save progress and deliver completed results;
- validate submissions, calculate results and send checkpoint and completed-lead notifications;
- contact you about your result and possible next steps only where you have given that permission;
- respond to enquiries, understand your request and arrange a Website Clarity Call you explicitly request;
- improve site structure, content and usability, and measure journey performance;
- prevent duplicate submissions, spam, misuse and technical problems; and
- meet legal, accounting and record-keeping obligations.
6. Email delivery and service providers
We use Resend to transmit service emails and internal form notifications. Information needed for an email—such as your name, email address and relevant form or result content—is processed through Resend for that purpose. This includes checkpoint notifications, completed visitor results, completed internal notifications and contact-form delivery.
We also use trusted providers supporting website hosting, analytics, form handling, security and technical operation. These providers receive only the information reasonably needed for their role. Some may process information in jurisdictions where they operate. We take reasonable steps to use providers with appropriate privacy and security safeguards; current processing-location details can be requested from Optisite.
7. Analytics and browser storage
The website can record non-personal interaction events, such as a check starting, reaching a checkpoint or a form being submitted. These events help us understand the 20/20 funnel and whether important journeys work. Events exclude names, email addresses, free-text messages and complete answer text. The optional follow-up choice is attached only to the successful lead-capture event, not recorded merely because the checkbox is selected.
The 20/20 Website Check uses browser storage for in-progress answers, journey state, event-deduplication markers and the secure reference needed to continue. Server-authorised encrypted state supports secure continuation and thank-you access. Personal information and answers are not placed in page URLs.
Cookies or similar technologies may be used for essential journey state, analytics and site improvement. You can control browser storage and available analytics settings through your browser, but disabling essential storage may affect check-resume or thank-you behaviour.
8. When we disclose information
We may disclose personal information to service providers that help us operate the website, deliver email, maintain systems or provide professional advice. We may also disclose information where required by law, to protect rights or safety, or as part of a business restructure. We do not sell personal information or email addresses, and do not disclose it for unrelated purposes without an appropriate basis.
9. Security and retention
We use reasonable technical and organisational safeguards intended to protect information from misuse, interference, loss and unauthorised access, modification or disclosure. No online service can guarantee absolute security.
We retain personal information only for as long as reasonably needed for the purpose it was collected, to maintain consent records and appropriate business records, resolve disputes and meet legal or operational obligations. Retention periods vary according to the information and service involved. Information no longer required is deleted, de-identified or securely disposed of where practical.
10. Access, correction and deletion requests
You may ask to access or correct personal information we hold about you, withdraw optional follow-up permission, or request deletion where applicable. Email hello@optisite.com.au with enough detail for us to locate the relevant information. We may need to confirm your identity before acting on a request, and legal or operational obligations may sometimes require us to retain particular records.
11. Privacy questions and complaints
- Email hello@optisite.com.au.
- Describe the concern and the outcome you are seeking.
- Optisite will review the concern and respond within a reasonable period.
If you are not satisfied, you may contact the Office of the Australian Information Commissioner through its official website.
12. Changes to this policy
We may update this policy when our services, providers or legal obligations change. The current version and its update date will be published at /privacy. Significant changes will be highlighted where appropriate.
